5 productivity tips I’ve learned during startup building
I started to build zencal simultaneously working my daily job at Ringier Axel Springer. As you probably guessed I had not had much time to work on my startup so I needed to figure out how to increase the amount of it. We all have only 24h so you can’t get more 😅 but the right question is “how much time do you waste”.
1. Find your time wasters
This is a TOP 5 activities that I think have been stealing the most of my time:
👉 Netflix - new series is pretty amazing but I was able to watch the entire series without any break 🤯
👉 YouTube - I have a lot of subscriptions on YouTube channels but 99% of them are just entertainment content
👉 News pages - I spent a lot of time checking what’s new in the world
👉 Video games - oh it’s been my addiction since I was young
👉 Social media - scroll to see them all 😅
After you think about what you are currently spending the most time on right now, you can create your top 5.
2. Planning can save your day
I believe that the biggest mistake is to trying work without a plan. This is the fastest way to invite chaos into your life. When you sit down at the computer to get things done you shouldn’t think about what you want to do but just do the tasks one by one.
Here are my top 3 best tools to plan tasks:
👉 todoist - killer feature is you can create recurring tasks so it can help you build habits.
👉 trello - if you love Canban methodology you probably know what the Trello is. It’s still one of the favorite apps to work with the team.
👉 JIRA - when your startup is growing and you have a dev team there is no better tool than JIRA. It’s also a good idea to use JIRA for customer support.
On this list should be one more, the most important tool that you can use - consistency. If make planning is one of your habits then your productivity will increase dramatically.
3. Kill disruptors
How you can win the battle with time wasters? Luckily in these days, we have a lot of tools that can help us with it. It’s very important to use it when you are working on the tasks because you need to stay focused if you want to do tasks faster. This can help you in your battle:

👉 Disable all notifications on your phone and browser

4. Automate or delegate
You don’t need to do everything alone. Try automate repeated tasks using make.com or zapier.com. These tools are very powerful. You can think that you have to spend a lot of time to learn how to use it or what scenario you should build but trust me, it’s worth it.
If you have tasks that you can’t automate because it needs creativity or it’s hard to do you can hire a virtual assistant who saves your time. Again you can think it’s wasting the money but let’s do the quick math.

You need to do the task that takes 1h. How much money do you save when you hire a virtual assistant?
5. Take care of your zen ️☯️
Set aside time to work and rest. When you organize your work properly you will see you get more time to rest. People are not tired because of the number of tasks, they are tired because they spent 3h on tasks that should take 45 min.
There is nothing worse than this feeling that I didn't do anything today. We don’t like to feel unproductive but it’s only our fault we feel like this. Here you have the 4 key things that help me stay in Zen:
